Estimates

An estimate maker built into your orders

ScanPix is an estimate maker (a quotation maker, if that’s the word your buyers use) that starts where your sale actually starts: the order. When a buyer orders from your catalogue, one tap turns it into a branded estimate PDF — letterhead, items, quantities, prices and totals — ready to send back on WhatsApp.

The problem it solves

The quote is where deals stall

A buyer asks for prices, and now you’re retyping their list into a document, checking rates, and formatting something presentable — while they wait. Every hour the quote takes is an hour the buyer spends talking to your competitor.

Slow to prepare

Retyping an order into a quote by hand takes long enough that hot enquiries go cold.

📝

Errors from retyping

Manually copying items, quantities and rates invites the kind of mistakes that cost real money.

📄

Unprofessional formats

Prices typed into a chat message don’t carry the weight of a proper branded document.

What you can do

From order to estimate in one tap

The estimate is generated from the order itself — the items, quantities and prices captured when your buyer ordered — so there’s nothing to retype.

One tap from any order

Open an order in your inbox and tap "Download estimate". The items, quantities and prices are already there — captured at order time. Orders on WhatsApp

Your letterhead, automatically

The quote carries your brand — logo, business name and contact details from your cover page — so it reads like a document from an established company.

A clean, crisp PDF

Print-quality PDF with selectable text: line items, quantities, unit prices, line totals and the grand total, plus notes for items priced on request.

Send it back on WhatsApp

Reply to the buyer’s order with the estimate attached — the whole loop, from catalogue to quote, happens where your buyer already is. WhatsApp catalogues

How it works

How estimates work

1

A buyer orders

They pick products from your shared catalogue and send the order — it lands in your Orders inbox.

2

You tap "estimate"

ScanPix generates a branded estimate PDF from the order — letterhead, items, quantities, prices, totals.

3

Send and confirm

Share the PDF back on WhatsApp, agree the terms, and mark the order confirmed.

Professional sending an estimate PDF to a client from their phone

An estimate, not a billing system

ScanPix estimates are deliberately simple: a professional, accurate quote generated from a real order. It’s not a GST invoicing or accounting package — it’s the document that wins the order, produced in seconds, from data you didn’t have to retype.

  • Prices captured at order time — no retyping, no rate mistakes.
  • Items priced "on request" are flagged for you to fill in.
  • Works on your phone or the web dashboard.

Frequently asked questions

How do I make an estimate with ScanPix?

Open any order in your Orders inbox and tap "Download estimate". ScanPix generates a branded PDF with your letterhead, the ordered items, quantities, unit prices and totals — using the prices captured when the buyer placed the order.

Can I make an estimate on my phone?

Yes. The whole flow works on mobile: the order arrives in the app, and the estimate PDF is generated and shared from your phone — most sellers send it straight back on WhatsApp.

Is a ScanPix estimate the same as a GST invoice?

No — and that’s deliberate. An estimate is the offer you send before a sale is agreed. ScanPix doesn’t do GST invoicing or accounting; if you use a billing package, the confirmed estimate gives you clean, accurate line items to bill from.

What if some products are "price on request"?

Items marked price-on-request appear on the estimate flagged for pricing, and the total notes that it excludes them — so you can quote those lines personally without confusing the buyer.
